Background: A Fast-Moving Consumer Goods (FMCG) company produces home care products for fabrics and exports them to various countries every day. An invoice must be created at customs, which includes the weight of the trucks. After loading the trucks at the factory, the gross and net weight of the truck is taken and sent to the company’s customer service (CS) team via email. The CS team manually enters the data into the database and creates an invoice to send to the fabric. This process can be delayed and is repetitive.
Objective: The objective of this project is to implement Robotic Process Automation (RPA) to automate the invoice creation process and eliminate the need for manual data entry.
Implementation: To automate the invoice creation process, the FMCG company implemented RPA technology. The RPA robot is programmed to receive the gross and net weight of the truck from the email and automatically enter the data into the company’s database. Once the data is entered, the robot generates an invoice and sends it to the fabric via email.
The robot is scheduled to run at specific intervals every day, ensuring that the invoice creation process is prompt and accurate. The robot is also able to send reminders to the CS team if the data is not received within a certain timeframe.
Results: The implementation of the RPA robot has resulted in several positive outcomes:
- Improved Accuracy: The robot ensures that the data is accurately entered into the database, reducing the risk of errors caused by manual data entry.
- Time Savings: The automation of the invoice creation process saves time for the CS team, as the robot is able to perform the task much faster than manual methods.
- Cost Savings: By automating the data entry process, the company saves money that would have been spent on manual labor.
- Reduced Delays: The robot ensures that the invoice creation process is prompt and eliminates delays caused by manual data entry.
Conclusion: The implementation of RPA technology has resulted in significant improvements to the invoice creation process for the FMCG company. The automation of the process has reduced the risk of errors, saved time and money, and eliminated delays caused by manual data entry. This case study highlights the benefits of RPA and how it can improve business processes.
Future: The future of the invoice creation process for the FMCG company looks promising with the implementation of RPA technology. As technology continues to advance, there may be opportunities to further improve the process with the integration of artificial intelligence and machine learning. This could lead to increased accuracy and efficiency in the invoice creation process. Additionally, the company may explore the use of blockchain technology to improve security and transparency in the invoicing process. Overall, the future of the invoice creation process for the FMCG company with RPA looks bright, and there may be further improvements to come.
